Wedding and Event Planner Prompts: Proposals, Timelines and the Day-Of Run Sheet

5 октября 2026 г.

Planning runs on documents: proposals, timelines, vendor emails, run sheets, quotes that must not change wording by accident. Twelve prompts cover the week most planners actually have.

The 12 prompts

1. Client proposal. A proposal for a [wedding/event] on [date] with budget [x]: scope, what is included, what is not, timeline, three package options. 600 words, plain language, no wedding cliches.

2. Planning timeline. A 12-month timeline for a [date] wedding: what the couple decides, what the planner owns, and what happens at 6 months, 3 months, 1 month and 1 week out. Checklist format.

3. Vendor enquiry. An enquiry to a [venue/photographer/florist]: date, guest count, budget range, three questions that decide the booking. 120 words, professional, no flattery.

4. Quote breakdown. Turn these costs [paste] into a client-facing quote: line items, subtotal, deposit, balance date, payment methods, cancellation terms. Clear table, no jargon.

5. Seating logic. Seat 120 guests from this list [paste]: family sides, divorced parents, kids' table, accessibility needs. Output a table with table numbers and a note on each tricky pair.

6. Run of show. Turn this rough plan into a minute-by-minute run sheet: who cues what, and a ten-minute buffer after every block.

7. Rain plan. A rain plan for an outdoor [event]: decision time, indoor option, what moves where, how guests are told. One page, calm tone.

8. Day-of messages. Three messages a coordinator sends on the day: setup reminder to vendors, quiet heads-up to the couple, timing note to the DJ. Two sentences each.

9. Photography brief. A shot brief for [event]: the 15 must-have moments, the two group photos that need naming in advance, and the details the couple will want later.

10. Review request. A review request sent seven days after the event: one question that gets a specific answer, one link, no pressure. 70 words.

11. Follow-up package. An email sending the final gallery, invoice balance and referral offer: thank the client, list what is attached, one CTA, 110 words.

12. Season review. Given bookings, average budget and inquiry-to-book rate [paste], tell me which lead source pays, what to raise, and where the process loses couples.

Feed the real numbers

Dates, headcounts, budgets and vendor names come from you. The model's job is structure and wording - a wrong date in a proposal costs a booking, so check every figure before it goes out.
